Manage Users

User Management in LOU occurs in a few different places. In addition to Manage Users, check these out:

Before creating profiles and assigning job titles for users, you must enter them in the system. That’s where Manage Users comes in. The Manage Users screen will allow to invite new users, make them administrators, reset passwords, view LOU App PIN, and Assign Bundle Access.

IMPORTANT! Everyone who is going to access LOU Web or any of its companion apps must have their own username and password (or PIN for mobile only). You must not share logins as this is not secure and can cause problems with data in the system, including overwriting each other and not saving changes, when logged in on multiple devices. For proper tracking and auditing, every user should have their own unique username and password. 

 



Go to Setup / Configuration / Manage Users

Invite New Users

  1. Select Invite User(s)
  2. Enter the email address
  3. To invite multiple users, hit <Enter> and type the next email address.
  4. Repeat until you’ve entered all the email addresses you want to invite
  5. Click Invite

Users will receive an email from the LOU Team.

REMEMBER! User invites expire after 72 hours. Make sure you invite users when they’re ready to accept the invite from a computer. Invites should not be accepted from mobile devices. Users must accept invites on a machine that is not currently logged into LOU.

 

Single Sign-On (SSO)

If your company uses Google for your email accounts, your users can use SSO to sign into LOU once they’ve been invited.

 

Licenses and Admin Access

You can assign licenses and admin access while the invite is pending and any time after they accept. These licenses and permissions can be updated any time.

REMEMBER! Licenses are seasonal. You can add or remove licenses according to your business need monthly. At the end of the month, LOU will bill your licenses according to the highest number of licenses in the previous 30 days. Add more licenses during your busy months and reduce your licenses down in your slower months!

LOU has 4 licenses:

  • Foundation is the minimum required license for LOU Web access.

  • Retail includes Foundation and LOU Retail POS access.

  • Service includes Foundation and LOU Service access.

  • Mobile Only does not include access to LOU Web. Only grants access to LOU Retail POS or LOU Service (you can check both to access both apps)

 

LOU App PIN

Mobile Only License users do not have access to My Account in LOU Web to get or change their LOU App PIN. When they are granted Mobile Only licenses, they will receive an email with their app PIN. In the event they lose or forget their PINs, Admins can access the LOU App PIN for users here.

IMPORTANT! These PINs cannot be changed from the Manage Users page. Mobile Only users cannot customize their PINs.

 

Reset User Passwords

You cannot see your users' passwords. You can force them to reset the password by finding the user and clicking the Force Reset link next to the user's name. The user will be forced to reset their password the next time they log in.

REMEMBER! This requires them to successfully log in first, then they will be prompted to change their password. This feature cannot be used to help a user who has forgotten their password. They must use the Forgot Password link for that.

 

Delete a User

You cannot delete a user. However, you can deactivate a user by unchecking the box under Active next to the User’s name. 

 

Change View

You can filter for All users, Active users, or Inactive users.

 

Audit Log

The Audit Log allows you to see all changes made to the Manage Users page including inviting new users, changing licenses, accepting invites, and more.

 

Pro Plan Upgrade to Enterprise

Pro Plan companies who wish to upgrade to Enterprise can do so with the orange Upgrade to Enterprise button at the top of the page.
